Privacy Notice

This notice explains what personal data AdeptTime processes, why, and what rights you have. AdeptTime is a field workforce management platform used by organizations ("workgroups") to manage time registrations, cases, schedules, teams, and location-based presence tracking for their employees and contractors.

Data controller

AdeptTime is the data controller for account and platform data. Where AdeptTime is used by your employer or client to manage your working hours, your employer or client acts as controller for your employment-related records, and AdeptTime acts as processor on their behalf.

What we collect

• Account & profile data — name, email address, and your role and position within a workgroup.
• Workgroup membership data — the teams, positions, and permissions assigned to you within an organization.
• Time & work records — time registrations, cases/jobs, schedules, expenses, and related approval status.
• Location data — when geofence-based check-in is enabled, the mobile app uses your device location to detect arrival at a job site so it can record working hours automatically. Location is only used for this purpose and only while the feature is enabled for your workgroup.

Why we process it

Data is processed to operate the platform for your workgroup: recording and approving time worked, managing schedules and cases, and calculating pay-relevant rates. This is necessary to perform the contract between AdeptTime, your workgroup, and, in turn, your employment or engagement with that workgroup.

Cookies & tracking

This marketing website does not use tracking cookies or third-party analytics.

Where data is stored

AdeptTime is hosted on Microsoft Azure infrastructure located in Europe.

How long we keep it

Time and work records are retained for as long as your membership in a workgroup is active, and afterward for as long as required to meet the workgroup's legal and record-keeping obligations.

Your rights

Subject to applicable law (including the GDPR), you may request access to, correction of, or deletion of your personal data, and may request a copy of your data in a portable format. Requests relating to your employment records should generally go through your workgroup administrator, who can also reach us directly.
